Once you agree to do a presentation, please follow these guidelines to setting up your presentation.

  1. Contact the person interested in having a presentation done and confirm the following information: date, time, length, place (name and location), number of people in audience, and age.
    • Tell the contact person about a typical program (Title: What is so amazing about insects) 40 minutes of an interactive discussion about bugs and their environment, including show and tell of live and dead specimens
    • Ask them if that is what they are looking for and how much the audience already knows about bugs
    • Do not forget to tell them that you will need a cart to transport specimens and a large table to set up specimens. Also the kids need to sit at their desks or in a group on the floor
    • Important: Exchange contact information in case someone needs to cancel.
  2. Ask Steve Krauth, the museum curator, (Museum: Room 346 Russell Labs, phone 262-0056, e-mail: krauth@entomology.wisc.edu), if you may use the specimens on such and such a date. You need to specify what you would like to bring.
  3. Reserve an Ag Fleet vehicle as soon as possible. (Car Reservation Form Example: contact the Entomology Department's main office.) You must be insured by the University. They are located in the house in Allen Centennial Gardens, by Steenbok Library. Their hours are 7:45 a.m. – 4 p.m. and their phone number is 265-3519. They have trucks, minivans, and station wagons. Once you have reserved the vehicle, see the program coordinator for an Ag Fleet reservation form. You need to fill out the destination information and bring it with you when you pick up the vehicle. NO PASSENGERS MAY RIDE IN THE VEHICLE WITH YOU!
  4. Fill out the Bug Presentation spreadsheet (saved on the network in I at “PEN” in the directory named department_share: Insect Ambassadors/Presentation spreadsheet) and e-mail the coordinator that things are set up.
  5. If the presentation is early in the morning, arrange to get the specimens the day before. If the presentation is late in the evening, arrange to get the insects before 5 p.m.
  6. Remember to take the receipt book and give the person in charge a receipt for the money they pay for the presentation.
